Udhaar Khata App: Keep Track of Credit Customers and Suppliers
Updated: 18 October 2026
Udhaar is part of every Indian shop. BizBahi keeps a running khata for each customer and supplier, linked to your bills, so you always know kisko dena hai aur kisse lena hai.
This guide shows how to record udhaar, take payments and remind customers on WhatsApp. The khata is part of BizBahi GST billing software, so every credit bill updates the balance automatically.
Add customers and suppliers
- Open the Khata tab.
- Add a customer or supplier with name and mobile number. Address, state and GSTIN are optional.
- Optionally set credit days (when payment is due) and a credit limit for the customer.
Record an udhaar sale
- Make the bill in Sales → New Sale and pick the customer.
- Choose Credit (udhaar) as the payment mode, or enter a partial paid amount.
- The unpaid amount is added to the customer's khata balance automatically. If the customer has a credit limit, the app warns you when a bill would cross it.
Receive a payment
- Open the customer in Khata and tap Receive Payment (or use Payment in).
- Enter the amount and mode — UPI, cash, bank or card — and save.
- The balance updates, and you can share a payment receipt PDF on WhatsApp.
Remind customers on WhatsApp
- From the customer screen, send a WhatsApp payment reminder with the outstanding balance and your UPI payment link — no SMS charges.
- Share a party statement PDF for any date range, with opening and closing balance.
- The Outstanding & ageing report groups dues into 0–30, 31–60, 61–90 and 90+ days so you know whom to call first.
- On a paid plan the Android app can also schedule reminder notifications around the due date; nothing is sent to the customer until you tap.
Supplier khata (payables)
Purchase bills on credit go into the supplier's khata the same way. Record payment out when you pay the supplier, and share the supplier statement if you need to match accounts.
Your data
The khata works offline on your phone. When you sign in with Google, it syncs to your BizBahi account so you can open the same khata in the web app at bizbahi.com/app or on a new phone. You can set a PIN lock so nobody else opens it.
